Meeting Minutes

February 13, 2008

Call to Order:  The meeting was called to order by President Tim Croushore at 7:08 p.m.

Coaches' Reports:  Coach Moule announced that the Varsity team would be announced at Thursday'spractice.  The JV and Soph/Frosh teams would be announced as early as this Friday, or by next Wednesday at the latest.

-   Schedule:  Coach Moule distributed a preliminary schedule for the season.  Some of the dates/locations for the Upland and Bonita tournaments will be finalized soon, and a revised schedule will be sent out.  Maureen Free stated that the schedule will be placed on the web page by Brad Free. Coach Moule reported that a scrimmage for the Varsity team against Pomona Catholic would take place on February 28th  at home.  Since PC does not have JV or Soph/Frosh teams, the Claremont teams will scrimmage against each other while the two Varsity teams play.  A dinner for all three Claremont teams, families, and coaches will take place immediately following the games at Cahuilla Park.

Opening Day will be March 1st, with Charter Oak hosting a double header for JV and Soph/Frosh in the morning, and for Varsity in the afternoon.   Regarding the Upland Tournament, only the Varsity and JV teams will be participating.

Coach Moule reported that within this season's schedule is the accommodating of three different spring break schedules.

The first league game, and Claremont's first home game will be Monday, March 17.

Budget &Fundraising:  Tim presented the following updates:

-  Carwash:  Tim reported that the date for the carwash is Saturday, March 29th.  Tickets will be available for purchase at the softball table at CHS Open House on March 20th.  Volunteering to assist Tim in staffing the softball table at Open House are Mary McKinley, Tina Gallegos, and Angie Atkins.

-  Baskin- Robbins:   A date for this fundraiser has not been determined.

-  Home Game Snack Sales:  Details regarding this fundraiser will be further discussed after all three teams have been announced.

-  Spirit Gear:  Amy Croushore reported that samples have been ordered, and she is awaiting delivery.  When they arrive, she will assemble an order form and collect orders, hopefully prior to Opening Day.

-  Water Sales:  Coach Moule reported that this is still a popular fundraiser that she continues in her classes.

-  Banquet:  Tim announced that a chairman for the Banquet Committee is needed, and Bruce Caughman volunteered.  Bruce stated that as a caterer he has worked numerous times with the Hughes Center, which was the location of the 2007 banquet.  Alvaro Molina volunteered to assist Bruce due to his own numerous restaurant connections.

Regarding the banquet, Tim requested parents/coaches/players to submit videos/photos to be compiled into a DVD that can be shown at the banquet.

-  Banner Program:  Bruce reported that Rebecca Coleman is finalizing an order form for the banner program which would allow sponsors to participate at three levels:  gold, silver, and bronze.  When completed, the forms will be distributed to players and families.  Amy reported that a 10 x 3 countdown-to-opening-day banner has been ordered and will be picked up Friday morning prior to the Spring Sports Rally.  The Varsity players will carry the banner during the rally, and then it will be hung on the back of the batting cages.

A general discussion followed regarding how sponsors in the banner program can receive additional benefits.  Suggestions included listing on the webpage, announcements during the Varsity and possibly JV games, and player line-up sheets distributed at each game which would include the sponsor's names/logos.

Coach Moule announced that Brian Nehring will be announcing the Varsity home games again this year.

Facilities Update:  Michael McKinley reported that the city of Claremont has requested that specific dates be determined by the softball program as to when each of the two softball fields should receive its new dirt/laser leveling.  Coach Moule stated that the fields needed to be ready for the Pomona Catholic scrimmage on February 28th.  Michael continued that the city will replace the bases.  Regarding electricity at the JV field, this improvement which would require trenching and other invasive work, will wait for later in the year.  Michael reported that the city will work in this request and other improvements into their budget for next year, with the new budget beginning June 2008.

Spirit Activities

-  Spring Sports Rally:  Tim reported that this will take place Friday, February 15th at 10:30 a.m. in the Big Gym.  Only the Varsity teams of the spring sports will be presented.   Amy reported that the "countdown-to-opening-day" banner will be ready for the players to carry during the rally.

-  Senior Day and Team Dinners:  These activities/events will be discussed at the next booster meeting after teams have been announced.    Tim reminded parents that the date for the Opening Day dinner for all three teams, families, and coaches has been changed from March 1st to February 28th.  Tina Gallegos volunteered to chair this event.  Families will be notified of details after teams are selected.

Meeting Minutes:  Copies of the January 24, 2008 meeting minutes were distributed to members at the beginning of the meeting.  A motion to approve the minutes was made by Tina Gallegos, and seconded by Jack Sultze.  The motion carried.
